For landlords and rental property owners

Every property expense, tied to the door it came from.

Repairs, condo fees, property taxes, insurance and the drive across town to let a plumber in. Capture the receipt and tag it to the property and unit, so when the T776 comes due, the year is already sorted.

What is Receiptor for landlords?

Receiptor is a receipt and expense tracking app for landlords and rental property owners. You photograph a receipt or upload an invoice, and Receiptor reads the merchant, date, sales tax and total, then picks one of your categories, and you add labels for the property and unit. Rental income is property income in Canada, so the categories worth setting up follow the CRA T776, Statement of Real Estate Rentals, rather than the business form, and a label lets you mark each cost as a current expense or a capital improvement when you capture it.

  • Label every expense with its property and unit
  • Set up categories that follow the CRA T776
  • Mark current expenses and capital improvements as you go

One bank account. Four properties. Twelve months of guessing.

Everything runs through one account

The plumber for one unit, the condo fee for another, and your own groceries all clear the same card. Splitting that back out in March is a job nobody wants.

Repairs and improvements blur together

A patched roof is deductible this year. A new roof usually is not: it is capital, and it gets claimed over time. If that decision is made from a bank statement eleven months later, it is a guess.

Per-door numbers do not exist

You know what the portfolio brought in. Whether the duplex actually beats the condo, once repairs and vacancies are counted, is a different question, and usually an unanswered one.

Sorted at the door, not in March.

  1. Step 1

Snap it before you leave the property

Photograph the receipt while you are still standing there. Receiptor reads the merchant, date, tax and total off the image, so a hardware run on the way to a turnover takes seconds to log.

  2. Step 2

Tag the property, the unit, and the type

Pick which door it belongs to and whether it is a repair or an improvement: the one decision that is easy now and genuinely hard a year later. Condo notices, utility bills and contractor invoices upload as PDFs.

  3. Step 3

Hand over a year that is already sorted

Group each property’s expenses into a report and download it as CSV with property, unit and type as columns. Your accountant gets totals to match to the T776, with the original receipt kept on every expense.

Labels that speak rental property.

Labels are the fields you add to every expense in your workspace: free text, or a choice from your own list. For a landlord that means two things nothing else captures well: which door the cost belongs to, and whether it is a current expense or a capital improvement.

Rental expense categories, lined up with the T776.

Much landlord software is built for US landlords and organized around the Schedule E. In Canada you file a T776, and the lines are different. Every Receiptor workspace starts with ten general categories that an admin can rename or add to; these are the ones that follow the T776, so year-end totals transfer instead of needing translation first.

Not tax advice. These are lines from the CRA’s T776, Statement of Real Estate Rentals, and a common starting point. The right line depends on how your business is structured, and a corporation reports on its T2 instead. Confirm your categories with your accountant before filing.

A year that is ready for the T776.

Rental expenses are the ones most often reconstructed from memory, because they arrive slowly and separately across a whole year. Receiptor keeps the image, the amount, the tax, the date, the property and the category together from the moment of capture, which is also the evidence you need if a claim is ever questioned.

  • Original receipt image stored with every expense

What is the best expense tracking app for landlords in Canada?

Much landlord software is built for the US market and organizes everything around the Schedule E. Canadian landlords file a T776, Statement of Real Estate Rentals, which has different expense lines. The right tool for a Canadian landlord captures a receipt in seconds, tags it to a specific property and unit, distinguishes a current expense from a capital improvement, and keeps categories that follow the T776. That is what Receiptor is shaped around.

Can I track expenses per property and per unit?

Yes. Add Property and Unit labels and fill them in as you capture receipts. Group a property’s expenses into a report to see what it costs to run, or download reports as CSV with property and unit as columns to compare one door against another.

What is the difference between a repair and a capital improvement?

Broadly, a repair restores something to its original condition and is usually a current expense you deduct in the year you pay it. An improvement makes the property better than it was or extends its life, and is usually a capital expense claimed over time through capital cost allowance. Patching a roof tends to be a repair; replacing the whole roof tends to be capital. The line is genuinely fact-specific, which is why an Expense type label lets you flag it at capture and leaves the final call to your accountant.

Can I deduct my mortgage payment?

Only the interest portion, not the principal. Principal repayment is not a deductible expense. On the T776 the interest goes on line 8710, interest and bank charges. Keeping the interest separate at capture avoids overstating the deduction later.

What expenses can landlords write off in Canada?

Commonly: advertising and tenant placement, insurance, mortgage interest, office expenses, legal and accounting fees, property management fees, repairs and maintenance, wages for a caretaker, property taxes, travel, utilities you pay, motor vehicle costs for trips to the property, and condo or strata fees. Capital improvements are claimed over time through capital cost allowance rather than deducted at once. What applies depends on the property and how it is held; confirm with your accountant.

Do the categories line up with the CRA T776?

They can. Receiptor uses your workspace’s own categories, so you can set them up after the T776 lines: advertising, insurance, interest and bank charges, professional fees, management and administration fees, repairs and maintenance, property taxes, travel, utilities and motor vehicle expenses. Year-end totals then transfer to the form instead of being re-sorted. Rentals held in a corporation are reported on its T2 instead. Treat the mapping as a starting point and confirm it with your accountant.

Does Receiptor connect to QuickBooks or Xero?

Not yet. QuickBooks Online and Xero are on the roadmap. Today, reports download as CSV with your labels as columns, which your accountant can work from. The integrations page lists every connection and its status.

I rent out part of my own home. Does that work?

Yes. Add a Personal-use share label so shared costs are recorded with the split when you capture them, rather than apportioned from memory at year end.

What happens after the free trial?

Nothing is charged during the 7-day trial. When it ends, billing starts at the price for each person in your workspace, unless you cancel first. You can cancel from your workspace’s billing page at any time.
